Position Summary Information

General Information

The Orientation Office at James Madison University is accepting applications for an Assistant Director of Orientation Operations to provide direction, management and implementation of all aspects of operational components central to Orientation’s responsibility to matriculate new students into the university. This position creates reports and implements business processes to provide accurate and time-sensitive data to campus partners who work closely with the student matriculation process. In addition, the Assistant Director of Orientation Operations is responsible for overseeing the department’s customer service operations and supervising a full-time staff member.

Duties and Responsibilities

- Develop, manage and implement large and complex orientation business processes utilizing the PeopleSoft Student Administration system, VZ Orientation and Microsoft Access.
- Create and update operations instructions, testing protocols and issue resolution documentation of VZ Orientation.
- Serve as the lead to troubleshoot and resolve functionality and performance issues between Information Technology and VZ Orientation systems.
- Ensure the functionality of VZ Orientation to appropriately and accurately make advising assignments, including special populations (such as honors, athletes and international students) for orientation programs.
- Correspond with VisualZen as the contract administrator by completing an annual review, post-season reviews and submitting necessary issues to be resolved in a timely manner.
- Supervise the Orientation Operations Manager, who is responsible for the daily oversight of the reception area that serves as the first line of customer service by phone, email or in-person interactions as well as directly supervises the Orientation Operations Assistants and Office Assistants.
- Oversee the customer service expectations, protocols and procedures to ensure high customer satisfaction.
- Oversee the reservations and advising assignments for First Year Summer Springboard, along with the check-in logistics for programming days.
- Work closely with campus partners (Career and Academic Planning, Card Services, University Programs and University Advising) to be able to access data to manage their functions directly related to Orientation.
- Convene and lead meetings or serve as an active member on external committees with key stakeholders and functional groups to identify improvements needed to VZ Orientation.
- Create training guides and provide onsite training to campus partners on how to utilize the VZ Orientation system for their business functions that support Orientation programs.
- Operate and manage allocated operational budget.
- Create, manage and oversee the 1787 database processes.

- Knowledge to manage complex Orientation and JMU computer systems that support the matriculation process of new students (VZ Orientation, PeopleSoft, etc.).
- Advanced knowledge of the Microsoft Office Suite including Word, Excel, PowerPoint and Access databases.
- Excellent oral and written communication skills.
- Ability to train others to utilize university and Orientation computer systems.
- Excellent problem solving skills.
- Knowledge of evolving technology trends and best practices.
- Ability to word independently with a willingness to collaborate and contribute in a team environment.
- Demonstrated ability to manage multiple priorities.
- Experience supervising staff.
- A bachelor’s degree or extensive formal training and professional experience in a technology-related position are preferred.
