Position Summary Information

General Information

Orientation Operations Assistants (OOAs) play a critical role in the success of James Madison University’s Orientation programs by working behind the scenes in the Orientation reception area to help students and their families (through e-mail, phone, and in person) have a positive experience during Summer Springboard and 1787 August Orientation. This position can provide valuable experience for students interested in careers such as student affairs, event planning, customer service and hospitality. This position reports directly to the Operations Manager.

Duties and Responsibilities

Overall responsibilities for OOAs include:
-Providing outstanding customer service to new students, family members, and JMU departments on the phone, through e-mail and in person
-Representing JMU through professional and competent behavior
-Communicating policies and procedures to students and families
-Managing multiple daily tasks and taking initiative to follow through on projects
-Learning and using programs like Microsoft Access, Excel, Word and Student Administration System to accurately enter data
-Communicating with students and families concerning the One Book steps and Orientation programming by phone, e-mail and/or in person
-Communicating with students unable to attend Orientation
-Working with staff members on all orientation web & publications proofing & review
-Ensuring the office, desk supply and storage areas remain organized
-Assist operations team with assurance that orientation materials are on hand, copied, sorted, and ready for all Orientation programs
-Assisting with set-up and playing an active role in the student check-in process on programming days
-Assisting O-team staff with all other duties as directed

Employment qualifications include:
-A minimum GPA of 2.5 is required.
-Be in good disciplinary and academic standing with James Madison University.
-Must be a full-time undergraduate student through fall 2018. Student may not study abroad during the period of employment.
-Must be available on Fridays from 2:30-5:00pm beginning on February 9, 2018 for mandatory training.
-OOAs may only take online or evening classes during the 1st block of May session. Classes may not be taken at any other time during the summer.
-Participate in all required Orientation meetings, training sessions and programs in the spring, summer and fall, including an overnight, weekend retreat February 2-4, 2018
-Must be available to work the required number of hours per week: Feb-Apr (8-12 hrs/wk), May-Aug (20-40+ hrs/wk).
-Due to intensive responsibilities during the contract period, OOAs are unable to work or train for another job that will conflict with any scheduled work time or training.

Conditions of Employment

Students must be degree-seeking students, enrolled on at least a half-time basis (6 credits for undergraduate and 5 credits for graduate).
