Position Summary Information

General Information

The Department of Kinesiology at James Madison University seeks an administrative professional to serve as a full-time administrative assistant to the Kinesiology department head and faculty. The position will provide administrative support in the areas of budgets, grants, purchasing, human resources, travel and numerous duties associated with the operation of an academic department as well as other duties assigned by the department head. The department currently has one administrative assistant so the successful candidate must be willing to work independently without much supervision.

Duties and Responsibilities

- Maintain and reconcile departmental and grant budgets on monthly basis.
- Prepare and approve orders through eVA procurement system.
- Maintain and reconcile small purchase credit cards on monthly basis.
- Prepare and process hiring paperwork for all employees hired in the department including newly hired full-time faculty; part-time adjunct faculty; graduate teaching assistants; and student employees.
- Prepare and maintain data and folders on faculty and student travel.
- Prepare work orders.
- Coordinate and submit payroll for student employees.
- Enter and update class schedule.
- In conjunction with athletics, coordinate room scheduling.

Qualifications

The successful candidate must have:
- Excellent organization skills.
- Experience with Microsoft Word, Excel and Access.
- Strong interpersonal skills.
- The ability to handle all office activity and material with discretion and in a confidential manner.

Knowledge of the following is preferred:
- State travel regulations.
- JMU systems which include: AIM, ePAR, eVA, Finance, Human Resources, Student Administration, and Student Payroll.

The successful candidate must be able to professionally represent the Department of Kinesiology to all constituents.
